Tamuda Bay Business Hub is a dynamic coworking space and entrepreneurial ecosystem in Northern Morocco, catering to startups, freelancers, and SMEs. As their membership base grew to over 500+ active users, their reliance on outdated manual processes (spreadsheets, paper-based bookings, and disjointed communication tools) led to operational bottlenecks, financial discrepancies, and client dissatisfaction. Their vision was to digitize operations, enhance member experiences, and position themselves as a tech-forward hub in Morocco’s competitive coworking landscape.

Project Objectives

The CRM was designed to address three core challenges while aligning with Tamuda Bay’s long-term growth strategy:

  1. Automate Workflows: Replace error-prone manual processes with intelligent automation.

  2. Centralize Data: Unify member profiles, bookings, invoices, and analytics into a single platform.

  3. Enhance User Experience: Deliver a modern, self-service interface for clients and staff.

Key Challenges

  1. Inefficient Booking System:Double bookings due to lack of real-time calendar sync.Members struggled to reserve meeting rooms or desks via email/phone, leading to 30% no-show rates.

  2. Fragmented Customer Data:Client information scattered across Excel sheets, Google Forms, and physical sign-in sheets.No visibility into member preferences, attendance patterns, or feedback.

  3. Financial Management Gaps:Manual invoicing caused delays (7–10 days per invoice) and 15% error rates in billing.Difficulty tracking recurring payments, outstanding balances, or revenue forecasting.

Solutions

Unified Member Database: Built with Python Django for backend logic and MySQL for secure, relational data storage.
Smart Booking Engine: Real-time desk/room availability powered by PHP Laravel and integrated Google Calendar API.
Automated Financial Module: Recurring invoicing system with Stripe/PayPal payment gateway integration.
Analytics Dashboard: Interactive data visualizations (using JavaScript Chart.js) for occupancy rates, peak hours, and member engagement.
Security & Scalability: Hosted on AWS EC2 with encrypted backups and multi-factor authentication.
